How We Get Information

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You have made an enquiry to us.

  • You have contracted our services.

  • You have applied for a job/ or contracted with us to provide a service.

  • You are representing your business.

You can contact us by phone, email and by completing the enquiry form on our website. Please note we use Gmail for our email system. You can read more about the security and privacy aspects of this system here.

We also receive personal information indirectly, in the following scenarios:

  • We have been asked to provide our service to someone and they give us your personal information as a contact.

  • An employee or a sub-contractor of ours gives your contact details as an emergency contact or a referee.

Why People Contact Us

Clients

People contact us to enquire about our services and to contract with us to design, create and build a marquee for their event. We may subsequently ask you to provide a review of our service for the purpose of publishing it on our website.

The legal basis we rely on for processing your personal data is your consent under article 6(1)(a) of the GDPR.

We retain information on enquiries for 3 months, and information about clients for 24 months following our last contact. Information is retained on our internal management system, to which access is strictly controlled.

Employees/ Contractors

They may also contact us to apply for a job or to become a sub-contractor working with us. We will only collect information necessary to make a decision on employment and assess the suitability for contracting with you and should we contract with you, information to facilitate our working relationship for example your bank details. The legal basis we rely on for processing your personal data is article 6(1)(b) of the GDPR, which relates to processing necessary to perform a contract or to take steps at your request, before entering a contract.

We also hold the names and contact details of individuals and suppliers acting in their capacity as representatives of their business. The legal basis we rely on for processing data in these circumstances article 6(1)(f) because the processing is within our legitimate interests as a business.

We retain information on our internal system for as long as we’re working with you and in relation to financial records, for the length of time required by HMRC.

  • Data portability – this only applies to information you have given us. You have the right to ask that we transfer the information you gave us to another person or business.

You are not required to pay any charge for exercising your rights. We have one month to respond to you.

Sharing Your Information

We will not share your information with any third parties for the purposes of direct marketing.

We use contractors and third-party suppliers in the delivery of our service and we may share some of your personal information with them ie your name, address of venue, phone number. We will only share the information they need to know in order to deliver the service. They cannot do anything with your personal information unless we have instructed them to do and they will not share it with anyone else. They will hold it securely and retain it only for the period we instruct.
